It\u2019s the erosion of trust. The messenger, the format, and the clarity of your message matter as much as the message itself.<\/p>\n<p style=\"font-weight: 400;\">Yet too often, leaders lean on fancy presentations or generic emails, overlooking what employees really need: relevance, consistency and connection. At Centric Consulting, we\u2019ve seen firsthand how effective communication during change can boost engagement, reduce confusion, and build momentum.<\/p>\n<p style=\"font-weight: 400;\"><strong>When we worked with an advertising and marketing company to help <a href=\"https:\/\/centricconsulting.com\/client-stories\/implementing-a-change-strategy-for-employee-involvement\/\">increase employee engagement<\/a> during a massive shift in how the organization operated, we knew we couldn\u2019t just turn to communication tools.<\/strong> We had to implement a change strategy that incorporated communications that would meet their employees where they were, including events, town halls, team engagement, fireside chats, and other critical components.<\/p>\n<p style=\"font-weight: 400;\">As a result, the company witnessed a significant increase in employee understanding of the company vision \u2014 from an average score of two to eight on a 10-point scale \u2014 and received positive feedback from both employees and leadership.<\/p>\n<p style=\"font-weight: 400;\">Similarly, to navigate hybrid, high-speed environments, you must tailor <a href=\"https:\/\/centricconsulting.com\/business-consulting\/people-and-change-consulting\/organizational-change-management\/\">change management<\/a> and communication, keeping them relevant and rooted in understanding. Here\u2019s what we\u2019ve learned from years of guiding clients through change \u2014 and what may not be on your radar yet.<\/p>\n<h2>1. Choose the Right Messenger<\/h2>\n<p style=\"font-weight: 400;\">Employees want to hear change messages from someone they know. In fact, according to <a href=\"https:\/\/www.prosci.com\/blog\/change-management-best-practices\" target=\"_blank\" rel=\"noopener\">Prosci\u2019s 2023 benchmarking report<\/a>, 58 percent of employees prefer to receive communications about the personal impacts of change directly from their supervisors. That\u2019s why who delivers the message often matters more than what\u2019s being said.<\/p>\n<p style=\"font-weight: 400;\">\u201cPeople want to hear it from their direct supervisor,\u201d says Verna Montgomery, my colleague and senior manager of <a href=\"https:\/\/centricconsulting.com\/business-consulting\/people-and-change-consulting\/\">People and Change<\/a>. \u201cThere are some messages that come from the CEO, and there are some messages that come from the grassroots level. If you want to incentivize action and engagement, the messenger matters.\u201d<\/p>\n<p style=\"font-weight: 400;\">We\u2019ve seen this firsthand: One global client sent a major reorganization announcement solely from the C-suite. Weeks later, local teams were still unsure how it applied to them \u2014 because their managers hadn\u2019t translated the implications. The message wasn\u2019t wrong \u2014 it just didn\u2019t have the right voice behind it.<\/p>\n<h2>2. Format Matters More Than You Think<\/h2>\n<p style=\"font-weight: 400;\">Employees are drowning in information between Slack, Teams, email, dashboards, and a sea of notifications. A 2022 Gartner study found that, according to HR leaders, <a href=\"https:\/\/www.gartner.com\/en\/articles\/what-will-hr-focus-on-in-2023\" target=\"_blank\" rel=\"noopener\">45 percent of workers feel overwhelmed<\/a> by the volume of communications they receive at work.<\/p>\n<p style=\"font-weight: 400;\">We worked with a client who liked to ensure that their team received all of the information about a problem upfront, which meant that they would write all of the details of a new change into a Slack thread that would take several scrolls of the mouse to complete. <strong>It was overwhelming for everyone on the team and made it harder to discern what was critical information and what could be absorbed later.<\/strong><\/p>\n<p style=\"font-weight: 400;\">That\u2019s why the delivery format matters as much as the content. Employees won\u2019t read an executive update that looks like a dissertation. They might watch a two-minute video. A brief Teams message might work for one group, while another needs a live Q&amp;A.<\/p>\n<p style=\"font-weight: 400;\">\u201cIt\u2019s about understanding what your message needs to be and who your audience is. That drives the right messenger and the format,\u201d says Montgomery.<\/p>\n<h2>3. Don\u2019t Confuse Clarity With Oversimplification<\/h2>\n<p style=\"font-weight: 400;\">Clarity is essential, but it doesn\u2019t mean treating your audience like they can\u2019t handle complexity. Shortening messages too much can actually increase confusion.<\/p>\n<p style=\"font-weight: 400;\">This aligns with research from the Nielsen Norman Group, which shows that while plain language helps all users \u2014 including experts \u2014 <a href=\"https:\/\/www.nngroup.com\/articles\/plain-language-experts\/\" target=\"_blank\" rel=\"noopener\">oversimplifying content can obscure meaning<\/a>, especially when the topic is complex or technical. Their studies emphasize the importance of providing enough context for users to make informed decisions, rather than minimizing detail in the name of brevity.<\/p>\n<p style=\"font-weight: 400;\">In one case, we worked with a company that tried to \u201csimplify\u201d a complex HR policy change by stripping out context. The result? Employees were left with more questions than answers and flooded the help desk. We helped them rework the messaging with better structure and links to a well-organized FAQ, improving self-service and reducing confusion.<\/p>\n<h2>4. Establish a Single Source of Truth, Every Time<\/h2>\n<p style=\"font-weight: 400;\">When people are overwhelmed or unsure, they instinctively look for something steady, something they can trust. That\u2019s why having a single, consistent source of truth during change efforts is critical. Whether it\u2019s a central SharePoint site, a project dashboard, or a pinned Teams channel, your communications need an anchor.<\/p>\n<p style=\"font-weight: 400;\"><strong>\u201cI also think it&#8217;s important to have a single point of truth,\u201d says Montgomery. \u201cPeople need to know that this is the single point of truth for the entire enterprise when there is a transformational change in particular.\u201d<\/strong><\/p>\n<p style=\"font-weight: 400;\">Without it, people chase updates across inboxes, slide decks, meetings, and chat threads. The message gets muddied. We\u2019ve seen major transformations stall because conflicting communications caused confusion, rework and mistrust.<\/p>\n<h2>5. Avoid Common Pitfalls<\/h2>\n<p style=\"font-weight: 400;\">Not too long ago, a <a href=\"https:\/\/finance.yahoo.com\/news\/read-memo-calendlys-ceo-sent-133038639.html?guccounter=1&amp;guce_referrer=aHR0cHM6Ly93d3cuZ29vZ2xlLmNvbS8&amp;guce_referrer_sig=AQAAAJY-tzWZEM1qkjxAcnKvn3C2FIl3ht8WlVwPE20h141IbY_sxolMhZ2wKVO95xoa6XYtBWnkbwe2CyZsbcWyeqR94Yj9tBUDR_Lvet39zfskj76dkG6WBRjCrGQvC4wh2-sGjDKYE6bCdi7Amq2UF1VujKN-W7miU2ghirPOJHqU\" target=\"_blank\" rel=\"noopener\">global tech firm announced layoffs via an internal email<\/a> stating that if employees received a calendar invite, they were being let go. It led to chaos, missed messages and headlines \u2014 literally. As Montgomery puts it, \u201cAnything you put in writing needs to be written like it\u2019s going on the front page of the Washington Post.\u201d<\/p>\n<p style=\"font-weight: 400;\">But that\u2019s not the only pitfall to avoid:<\/p>\n<ul>\n<li style=\"font-weight: 400;\"><strong>Overwritten content:<\/strong> A five-paragraph explanation doesn\u2019t beat a clear three-sentence message.<\/li>\n<li style=\"font-weight: 400;\"><strong>Long videos:<\/strong> Anything longer than <a href=\"https:\/\/maestrolearning.com\/blogs\/how-long-should-your-video-be\/\" target=\"_blank\" rel=\"noopener\">two minutes and 12 seconds<\/a>? Drop-off rates spike dramatically after 90 seconds.<\/li>\n<li style=\"font-weight: 400;\"><strong>Misused humor:<\/strong> It\u2019s subjective and can backfire, especially when employees are anxious.<\/li>\n<li style=\"font-weight: 400;\"><strong>The wrong messenger:<\/strong> A message from a faceless \u201csteering committee\u201d is likely to fall flat.<\/li>\n<li style=\"font-weight: 400;\"><strong>Inappropriate channels:<\/strong> If your people live in Teams, don\u2019t bury critical updates in email.<\/li>\n<\/ul>\n<p style=\"font-weight: 400;\">It doesn&#8217;t just fail to inform when communication misses the mark, whether in tone, format or delivery. It actively erodes trust. And in a time when people are balancing nonstop change with nonstop demands, trust is the one thing your communication can\u2019t afford to lose.<\/p>\n<h2 style=\"font-weight: 400;\">Building Trust With Thoughtful Change Communications<\/h2>\n<p style=\"font-weight: 400;\">In times of change, your employees aren\u2019t just looking for information \u2014 they\u2019re looking for stability, clarity, and connection. How you communicate can either reinforce trust or quietly chip away at it.<\/p>\n<p style=\"font-weight: 400;\">Yes, people want transparency. But they also want relevance. They want to hear from someone they trust. They want to know where to find the facts and that those facts won\u2019t change tomorrow.
